How do I submit an event to ValleyEvents.ca?
How quickly does my submitted event appear on the site?
Events are published immediately upon submission so visitors can see them right away! Our team then reviews and edits all new listings as soon as possible. If we have any questions, we will reach out to you directly.
How do I edit an event I’ve already submitted?

What is the submission deadline to be included in the weekly event newsletter?
Our weekly events newsletter is sent to subscribers every Wednesday morning. To guarantee your event is included in the upcoming email digest, please submit your event by 5:00 PM on Tuesday before your event date.
Can I submit an event if I don't have a poster image?
Q: If I add a poster, do I still need to fill out all the detail fields?
Yes. You still need to enter all the event details, even if they are included on your poster. Users expect to find important event information in predictable locations on the event page, rather than having to read the poster to find it. Having the details in text form also allows us to use them in calendar feeds, search results, and email newsletters.
What image format or quality works best for event posters?
You can upload your event poster in almost any standard image format (e.g. JPG, PNG, WEBP, PDF, etc), and our system automatically optimizes it for fast loading across desktop and mobile. For best visual quality, ensure your poster image is clear, not blurry, and that key details like the event title, date, time, and venue are easy to read.
What should I do if my event is cancelled, postponed, or sold out?
If your event status changes:
- Sign in to your account and go to your event or find it via My Events.
- Click Edit on the event.
- Use the dedicated Cancelled or Sold Out status checkboxes, or update the date, time, or location.
Why can't I find my venue or select a location when adding an event?
When selecting your event location:
- On Desktop: Start typing your venue name into the Venue box and select your venue from the dropdown menu that appears.
- On Mobile: Type the venue name into the search box and tap your venue from the autocomplete search results below the input field.
If your venue is brand new and not listed yet, select the option to add a new venue.
How do I indicate age restrictions or accessibility details for my event?
When submitting or editing an event, you can specify age requirements (e.g., All Ages, 19+ / Licensed) and venue accessibility details in the category dialog so attendees know what to expect before arriving.

Is it free to list my event?
Where else will my entered event appear besides ValleyEvents.ca?
When you list an event on ValleyEvents.ca, your listing reaches local audiences across multiple media partners:
- Radio Partner Websites: Automatically featured on AVR 97.7 and Magic 94.9 websites.
- Print Newspaper: Eligible for possible inclusion in The Grapevine newspaper's "What's Happening" section (when submitted before the monthly publication deadline).
- Municipal Calendars: Select local towns and municipalities incorporate ValleyEvents.ca listings into their community calendars.
I submitted my event, but it’s not showing on the main calendar. Why?
Check My Events in your account menu to verify that your submission went through. If its not there common reasons an event might rejected by our team include:
- Coverage Area: The event venue is located outside our coverage region (West Hants to Digby County).
- Policy Guidelines: The event didn't meet Event Policy guidelines.

What types of events are not eligible for the free listings section?
To ensure ValleyEvents.ca remains focused on community-driven activities, commercial or business-promotional events are excluded from free listings.
Examples of ineligible events include:
- Business events involving direct customer sales or commercial solicitation
- Advertisements, store sales, or promotional discounts
- Regular commercial fitness classes (e.g. paid classes at a private studio)
- Administrative-only events (e.g. material pick-up days for tax clinics)

Can I list regular weekly or monthly meetings?
ValleyEvents.ca is primarily intended for public arts, entertainment, culture, and special community events rather than recurring meetings. However, public community workshops, cub meeting, major monthly town halls, or open public gatherings are welcome.
Can I enter recurring events?
While ValleyEvents.ca does not currently have an automated recurring schedule feature, listing recurring is fast and easy using our Duplicate Event feature!
- Submit your first event as usual.
- View the event page or go to My Events in your account menu.
- Click Duplicate (copy icon). This opens a pre-filled form with all your event details, description, poster image, and venue pre-loaded.
- Simply change the event date/time for the next date and click submit!
Can I submit online, virtual, or live-streamed events?

How do ticket giveaways work?
Ticket giveaways are a fantastic, free way to boost interest and attendance for your event! Organizers offer a pair of complimentary tickets, and ValleyEvents.ca manage entries, randomly drawing the winner, and contacting both you and the winners.

How can I get more exposure for my event?
In addition to our free basic listings, ValleyEvents.ca offers affordable paid promotional upgrades:
- Featured Poster ($10/event): Displays your event poster on the ValleyEvents.ca homepage for at least 30 days leading up to your event.
- Email Banner ($25/mailout): Places a custom banner ad linked to your website inside our weekly Wednesday Event or Friday Giveaway email newsletters.
- Business Ad ($25/month): Displays a banner in the desktop sidebar and mobile feed to promote local businesses or non-event services.

How do I pay for advertising
Payment Options
- If you do not require an invoice, you may pay immediately using one of the methods below.
- If you do require an invoice, simply wait, and we will email one to you in the month following your event.

- Interac Email Transfer – Send your payment to [email protected]. Please include the event name and date in the message field of your e-transfer
- Cheque – Make cheques payable to Brookhill Technologies and mail them to the address below. Please include the invoice number on the check's memo line.

When will I receive an invoice for paid advertising?
Because ValleyEvents.ca is community-powered and operated by a small partially volunteer team, invoices for poster or banner advertising are generally issued in the month following your event.
If you need to settle your payment sooner or do not require a formal invoice, you can pay anytime via Interac e-Transfer to [email protected] or by cheque payable to:

Venues
My venue is listed on ValleyEvents.ca. How can I update our information?
Venue details can be updated in a couple of easy ways:
- Become a Venue Administrator: Request Venue Admin access to manage your venue's details, logo, address, and photos directly anytime.
- Contact Us: Email our team at [email protected] with your updated details, and we will update your profile for you.
Additionally, our team conducts annual verification checks to ensure all venue listings remain accurate and up-to-date.
What is a Venue Administrator, and how do I become one?
A Venue Administrator is a verified representative for a venue listed on ValleyEvents.ca. As a Venue Admin, you get access to tools to manage your venue's presence:
- Manage Venue Profile: Update your venue's address, contact info, website, logo, and photos directly.
- Event Notifications: Receive email alerts whenever an organizer submits a new event at your venue.
- Manage Event Listings: Review and edit details for events taking place at your location.
